14. Team Administration: Managers Guide


Memberships Via Pitchero
All players must pay a membership fee to enable them to play; the only exception to paying an annual fee is the U6 squad as they don’t officially “play” so only pay as you go - £3 each session. This will assist in paying for equipment for activities.

As a whole club we use Pitchero as the main membership database, which also includes the M & J section, replacing the existing database that we have been using for a number of years.
We will also be using Pitchero to collect the membership fees.

The main advantages of using Pitchero are:
- a single database holding the players and parents/guardians membership details
- membership fees will be paid via Pitchero which will remove the need for matching payments into the bank account
- Pitchero can be used to inform you of the upcoming fixtures, send out communications and manage player availability
- there is a Pitchero app available on mobile device

Many players from the last season's database have already been uploaded into Pitchero, however, parents/guardians, need to register on the site as Parents and link your membership to the players.

To do this, you need to:
- logon to www.stockportrugby.co.uk
- select Join this club at the top of the page
- enter your details (name, email and mobile)
- confirm your consent
- select the Parent role
- select your children

If you are already members of the Pitchero site but not setup as parents, then you just need to apply for the role of Parent as above. The application will then be sent to me for approval.
We need to get everyone setup on Pitchero to allow you to be able to pay the membership fees.
To pay for the membership you need to:
- Log into your account at www.stockportrugby.co.uk
- Select ‘Your Account’
- Select ‘Payments’
- Click on ‘View Products’
- Select ‘Mini & Juniors Player Membership 2019/20’(therefore after, the correct season dates)
- Select whether the membership is for a 1st, 2nd, 3rd etc. child and click ‘Buy’
- Choose the child you are paying the membership for
- Use a credit/debit card to make the payment
As per previous seasons, we are offering an early payment discount for payments made before 30th September 2019.
The subs for this season are:

First child £105 £115
Second child £100 £110
Third child £95 £105
Subsequent children £90 £100

As in previous seasons, we are encouraging at least one parent to become a social member of the Senior Club. This membership has three major benefits:
- Have a vote and say in the running of the rugby club for the benefit of your child
- Entry into the draw to win a free pair of England International tickets to a 6 Nations game at Twickenham
- Apply for international rugby tickets (email drewmichael@sky.com for requests)
The M & J section have secured a 50% discount over the normal Social Membership rate of £40. This membership is therefore only £20 per year.

RFU registration
Once the Stockport membership is complete, you and your child will be added on to the RFU’s data base; Game Management System (GMS). Each club has their own profile. However, this doesn’t automatically register your child with the RFU and they will need to, enabling them to play, particularly in festivals and cup games. Age Grade Player Registration, formerly known as Youth Registration, becomes a fully online process from 2018-19. This reduces the burden on everyone and streamlines the process to help players, parents and volunteers in the Age Grade sections of our rugby clubs and in particular our Club Registrars.
It provides more consistent, accurate and usable information for clubs and the RFU to help players and parents enjoy their Age Grade Rugby and transition into the adult game. In addition it will ensure GDPR compliance and brings the process more in line with the adult registration process.
A simple process involves the parent or guardian of the player completing their details and those of the player, directly through an online registration form. This then triggers an automatic verification process for the parent/guardian and Club Registrar to complete and confirm that the player is registered
Age Grade Registration: Step by Step Guide for Parents
The following guide outlines the simple steps that you need to take to submit a registration request on behalf of your child for the upcoming season.
Step 1: Enter Parent Details - The club you wish to join will make available a ‘create account’ link; this is unique to that particular club.

Access this link and enter your details. At this point, you can also select how many children you would like to create an account for.
Step 2: Create Username & Password and Enter Communication Preferences
Once you have entered your personal details, you will be asked to enter a username and create a password. We suggest that your e-mail address acts as a good username. Passwords must be at least 8 characters long, must contain an upper case character and a number. You can view the GMS Terms and Conditions of Use and have the opportunity to opt in to receiving communication from the RFU and its partners.
Step 3: Enter Child Details
You will now be asked to enter the details of the child that you wish to create an account for; this child will be linked to your account once the account has been created. You can denote the relationship the child has with you by using the ‘relationship to you’ pick list at the top of the page. The address of the child will be pre-populated with that of the parent account you have created.

Also on this page is the area where you pick the school that the child attends and importantly where you can select the reason for the account creation. PLEASE NOTE-IT IS IMPORTANT TO SELECT THE ‘PLAYER REGISTRATION REQUEST’ AS THE ACTIVITY TYPE.
Step 4: Summary - Once you have created each record, you will be presented with a summary page. At this point you have the option to edit the accounts you are creating or add further accounts. Once you are happy, simply choose confirm.
Step 5: Confirmation - Your account has now been created at the club and the registration request sent to the club registrar for action. You will be presented with an account confirmation page advising you of how to validate your email address and complete your part
